Lead Rescue AI Knowledge Base
Overview
Lead Rescue AI is a software application designed to help businesses monitor activity in their connected CRM account, identify leads that may need attention, and support re-engagement. By connecting to your CRM account, it is designed to reduce the need to manually check contacts one by one.
Getting Started
Getting started involves installing the application, authorizing access to your CRM account, selecting your business account where applicable, and completing an initial configuration. For a detailed checklist, see our onboarding walkthrough.
Account Connection
Connecting your account authorizes Lead Rescue AI to access your CRM account through your CRM's standard authorization process. When you connect Lead Rescue AI:
- Permissions: You will be shown the permissions the application requests. Review these before approving the connection.
- Business Account Selection: If your CRM organization includes multiple business accounts, you can choose which one to monitor.
- Manage Access: You can review, adjust, or revoke the connection at any time from within Lead Rescue AI or your CRM's application settings.
Lead Monitoring
Lead Rescue AI is designed to review contacts within the CRM pipelines you choose to monitor. The signals below are intended monitoring signals and can depend on the CRM data available to the application through your connected account. It is intended to consider signals such as:
Time Since Last Activity
Based on recent outbound or inbound communication, such as emails, calls, or messages.
Opportunity Stage Stagnation
Deals that have remained in an intermediary stage beyond your configured thresholds.
Unreplied Messages
Inbound inquiries that have not received a reply within your target window.
Cancelled or No-Show Appointments
Captures cancellations so follow-ups can be considered while intent may still be present.
Contact & Opportunity Data
Lead Rescue AI is designed to access only the data necessary to evaluate inactivity and suggest context-aware messages, such as:
- Contact identifiers (for example, name, email, phone, and company)
- Associated opportunity value and stage history
- Relevant communication history
- Tags and fields included in your monitoring configuration
Lead Status & Priority
Leads surfaced by the application are intended to be prioritized so your team can see which contacts may benefit most from attention. Priority is designed to reflect factors such as engagement history, opportunity value, and time elapsed. Specific priority levels and thresholds are configurable and may vary based on your settings.
Higher Priority
Recent or higher-value opportunities with warmer engagement history that have gone quiet. Generally a good window for re-engagement.
Moderate Priority
Medium-value prospects with some dormancy that may be worth a softer re-engagement touch.
Lower Priority
Older contacts or colder inquiries suitable for periodic check-ins.
Lead Rescue Dashboard
The Lead Rescue Dashboard is designed to give you a central overview, including:
- Dormant Opportunities: A summary of opportunities that may currently need attention.
- Rescue Queue: A list of contacts flagged for follow-up attention.
- Priority Indicators: Signals to help you see which leads may benefit most from attention.
- Follow-Up Suggestions: Suggested re-engagement messages ready for your team to review.
Re-Engagement
Lead Rescue AI is designed to generate relevant follow-up suggestions using the CRM context available for each contact, such as prior interactions and opportunity details. Suggestions are intended to be reviewed before use, and nothing is sent automatically on your behalf. Depending on your configuration, you may be able to adjust:
- Details referenced in the suggestion, such as the original inquiry
- How suggestions are reviewed and approved before being used
Settings
Settings are intended to let you adjust how Lead Rescue AI works with your account, including:
- Which pipelines and stages are monitored
- Inactivity thresholds that determine when a lead is flagged
- Stages or tags to exclude from monitoring
- Review and approval preferences
Notifications
Lead Rescue AI is designed to surface leads that need attention through in-app, dashboard indicators, such as:
- Priority indicators on the Rescue Queue
- Summary views of leads flagged for follow-up
Troubleshooting
Leads not appearing in the Rescue Queue
Check your inactivity thresholds in your monitoring settings. If a threshold is set higher than the time a lead has been inactive, it will not be flagged yet. Also confirm that the relevant pipeline is included in your monitoring configuration.
Connection or authorization becomes unavailable
If your CRM credentials or permissions change, the connection may need to be refreshed. Reconnect the account using the connection controls available inside Lead Rescue AI or your CRM's application settings.
Dashboard not reflecting recent CRM changes
If recent updates in your CRM are not yet reflected in Lead Rescue AI, confirm that your CRM connection is still active and allow time for monitoring to review the updated data.
Disconnecting the Application
To revoke Lead Rescue AI access:
- Use the connection or account settings inside Lead Rescue AI to disconnect your CRM account.
- Alternatively, open your CRM's installed applications or integrations list and remove or revoke Lead Rescue AI's access.
- After disconnecting, monitoring stops and access to your CRM account is revoked.
Data & Privacy
Lead Rescue AI processes data from your connected CRM account in order to provide its functionality. For complete details on how data is handled, retained, and deleted, refer to our Privacy Policy.
